To act as an administration support system to the other departments and to ensure that the information is received, captured and distributed correctly. You will also be responsible for making all travel and accommodation bookings for employees and guests of De Heus as and when required.

PURPOSE OF JOB

To ensure that the telephone is answered timeously and in a friendly and professional manner, as well as ensuring that all visitors are attended to efficiently and treated with respect and professionalism.  To act as an administration support system to the other departments and to ensure that the information is received, captured and distributed correctly.You will also be responsible for making all travel and accommodation bookings for employees of De Heus.

KEY PERFORMANCE AREAS 

Customer Service

  • Answer and direct all phone calls
  • Greet all office guests
  • Manage, clean and organize the front desk
  • Schedule meetings, client visits for Management
  • Stock and stationary control
  • Provide administrative support to all team members as necessary
  • Answer guests' and employees' questions
  • Admin Support for Senior Management

Travel & Accommodation 

  • Book flight tickets, accommodation and vehicle rental as requested and according to procedure.
  • Disseminate travel documents and information timeously.
  • Send a recon to HQ at month end of all bookings made, together with the credit card statement.

Telephone 

  • Answer the switchboard timeously and in a friendly and clear manner.
  • Transfer calls with minimum delay to the relevant person.
  • Take messages clearly and concisely, ensuring the messages are forwarded timeously.
  • Establish ‘personal’ relationships with frequent callers (i.e. recognise and greet by name)
  • Maintain traffic through the switchboard and update management on any irregularities.
  • Manage all calls, admin duties and correspondence in a responsible & confidential   manner.
  • Ensure that the internal telephone extension list is updated when necessary and distribute to staff.
  • Sort and distribute incoming mail and ensure that outgoing mail is attended to efficiently.
  • Assist with the company’s general typing requirements.

Knowledge, Qualifications & Experience

  • Matric (Grade 12 Certificate)
  • Possession of a valid Code 08/EB drivers license
  • 2 years experience in front office or customer facing role & administrative proficiency in booking systems
  • Working knowledge of MS Excel, MS Word & Outlook
  • Strong logistical skills to manage itineraries, budgets & Compliance
  • Strong verbal & written communication
  • Excellent organisational Abilities
  • Able to manage multi line phone systems
  • A high level of professionalism, with customer service orientation & the ability to maintain a calm & welcoming demeanor
